SynergyFlow helps sports and music academies run attendance, fees, schedules and parent updates. Academies hold information about children, and we take that seriously. This notice explains, in plain words, what we collect, why, and what you can ask us to do.
1. Who is responsible
Each academy decides what student information it keeps and why. SynergyFlow Tech provides the software and stores the information on the academy's behalf. If you are a parent, your first contact for your child's information is your academy. You can also write to us at support@synergyflow.dev.
2. What information is collected
Only what an academy needs to run its classes:
- Student name, age group or team, and batch.
- Parent or guardian name and mobile number.
- Attendance records.
- Fee status and the payments an academy records.
- Notes an academy adds, such as progress ratings or match squads.
- Login details (an email address) for staff and parents who have an account.
This website itself does not use advertising cookies or analytics. When you tap a WhatsApp button, you leave this site and WhatsApp's own rules apply.
3. Why it is used
Only to run the academy: taking attendance, tracking fees, planning sessions and keeping parents informed. We do not use it for anything else.
4. Children's information
Academies are responsible for getting a parent or guardian's consent before a child's information is added. We do not contact children directly. Children's information is never sold, never shared with advertisers, and never used for tracking or profiling. Parents can choose what is shared about their child, such as photos, their child's name on squad lists, and whether their phone number is shown to coaches.
5. Who can see it
Each academy can see only its own information. Inside an academy, people see only what their role needs: for example, a coach sees their own batches, and a parent sees only their own child. Our team can technically reach the system in order to maintain it, and we do so only to fix problems or to help an academy at its request.
6. Where it is stored, and who helps us
Our database is hosted in Mumbai, India. We use trusted service providers for hosting, the database, and a bot check on sign-up forms. They process technical information, such as IP addresses, only to provide their service to us.
7. How long it is kept
Information is kept while the academy uses SynergyFlow. An academy can download its data at any time. When an academy ends its service, or asks us to delete information, we act on it promptly and confirm to you in writing.
8. How we protect it
- Connections to the app are encrypted (HTTPS).
- Academies are kept apart in the database by access rules.
- Staff accounts are limited by role, and important actions are recorded in an activity log.
No system is perfectly secure. If something goes wrong that affects your information, we will tell the academy and, where required, you.
9. Your choices
A parent or guardian can ask to see, correct or delete their child's information, or withdraw consent for what is shared. Ask your academy, or write to us at support@synergyflow.dev and tell us your child's name and the academy. We may need to confirm who you are before we act.
10. Changes and contact
